Request properties
To create a request template that employees will be able to fill, go to Requests > Request types.
Click Add an application type and start defining its properties.
First, name the request and then define the notification that will be sent to people that have to accept the request.
In the Additional parameters section you have to set a few important things.
First, if the request will be linked with trainings on the platform, turn off the The user can submit this type of request in the Submit request tab option.
It’s useful to turn on the second to last switch, Everyone with the permission to edit an application can accept workflows. Then administrators will be able to accept requests for someone else when they’re on sick leave or holidays.
At the bottom you can link the request with trainings created on the platform. To do that, turn on the This request is used to apply for a training date switch.
Below you have to set filters that the platform will use to link the request with a specific training. It can be just a name of the training or a whole training category.
Click Add and you can further configure your request.
Request template
In the Template tab you can add and sort fields that will be available to fill in your request.
Fields that are already on the list, have to stay there, you can only sort them or edit them after clicking on their name. You can’t delete them.
To add another field to the request, click Add custom field in the upper right corner.
The field needs to have a name, you have to also choose its type.
The most popular types are: text field, YES / NO and selection list.
You can also add a label, which is simply a text shown in the request.
Every field has a few options, for example it can be a read only field or a required field.
At the end click Add and return to go back to the list of fields and be able to add another field.
Request workflows
A workflow is a way that a request will follow to be accepted at the end.
Every request needs to have at least one workflow that will be the default workflow.
To add a workflow, click Add definition in the upper right corner.
Name and describe the workflow and set it as a default one. Then click Add.
After you add the workflow, you will see the Workflow steps tab, where you need to click Add new step.
Name the step and then choose its type. The type determines what will happen to the request after you file it.
The most popular types are: directly selected user, user in relationship and the user based on the value of the additional user field. In this step the request will be sent to different people based on information in the additional field in your profile.
For each step you can choose which fields will be editable in this step. You also have to choose the status after acceptance that will be shown to the person who filed the request.
If the request is linked to a training on the platform, remember to set creating application for the date as the last step in the workflow.
After creating the step, click Add and return to be able to add another one.
If the workflow is default, you don’t have to choose users that it will apply to. But when you create another workflow, you have to choose users in the Users tab.
