Dynamic values are a feature that allows a single report to present different data depending on who is viewing it. For example, a manager will see information about their subordinates, while a specialist from a specific department will only see data relevant to their own team.
Instead of selecting specific users, regions, or dates, you can configure a filter to automatically adjust to the currently logged-in user’s data.
Where Can They Be Used?
This feature is available under Analytics / Reports / Edit (or Create) Report, in the ‘Add filters’ section.
Once filters are added, a lightning bolt icon will appear next to the value field of any filter that supports dynamic values.
Exception: for the system field “Direct manager’s profile card”, the dynamic value appears directly in the value list.
Usage for Specific Fields
- “Direct manager’s profile card” Field (System Field)
- With the “Active User” dynamic value, each supervisor will see only their own subordinates’ data upon logging in.
- There’s no need to create separate reports for each manager.
One report with the “Direct manager’s profile card (dynamic value)” filter is enough. Each manager sees only their team after logging in.
- Custom Fields
- Each platform may have its own set of custom fields (e.g., Region, Department, Area), configured by the administrator.
- When you apply a dynamic value to such a field, the report will automatically include data from the logged-in user’s profile.
Example:
Let’s assume there are two users:
- Malinowski, with Region = Mazowieckie in their profile.
- Kowalski, with Region = Pomorskie.
If the “Region” filter uses the dynamic value “Region”, then:
- Malinowski will see only data related to Mazowieckie,
- Kowalski will see only data related to Pomorskie.
This way, one report can behave differently depending on who is logged in, eliminating the need to create separate views for each region.
- Date Fields
You can also apply dynamic values to date fields, such as:
- “Always show data from the current month”, or
- “From last year”.
The report will automatically shift to the current period, saving time and ensuring data freshness.
What Are the Benefits?
- One universal report for many users: No need to copy views for each manager or department. Just enable the dynamic value once, and the system adjusts the data automatically.
- Effortless data freshness: A filter with a dynamic date updates itself (e.g., monthly), so there’s no need for manual updates.
- Easier access to relevant data: Users immediately see data most relevant to them (e.g., their own region, team, or department), minimizing the need for further filtering.
- Flexibility: You can apply dynamic values to all custom fields, date fields, and system fields like Direct manager’s profile card and Login.
Summary
Dynamic values are a perfect solution when you want to create one report that automatically adapts to each user who logs into the system. This saves time, simplifies report management, and ensures every user instantly receives the right information.
