The Team Onboarding view shows managers, buddies and other roles which of their people are in onboarding, how they are doing and what needs to be done for them, without building reports or opening each person's profile.
What the view offers
Benefits for people supporting onboarding
- They see all their people in onboarding in one place, on a stage board.
- They have a list of their tasks for new hires.
- They get hints about who needs attention: overdue deadlines, no logins, a low pulse check.
- They can send a reminder or ask how someone feels with one click.
Benefits for administrators
- Nothing to build from scratch: the view uses programs marked as onboarding.
- Fewer requests for reports on new hires' progress.
What the view looks like
The view shows people connected to the logged-in user through their role, e.g. as a leader, buddy or HR Business Partner, who currently have onboarding assigned. The screen has four parts:
- Role switcher: e.g. “My team”, “HR Business Partner”. Shown only when the user has more than one role.
- “To do” tab: on the left, your tasks for new hires; on the right, “Signals”, i.e. people who need attention.
- “Journey” tab: a board with five stages (Before start, First week, First 30 days, Until day 60, Finish) and a tile for each person.
- Person details: a panel opened by clicking a person, with progress, signals, pulse checks, tasks and program paths.
Who is shown in the view
The view shows active people from the selected role who are in onboarding.
A person is shown if they have a program marked as onboarding assigned.
A person disappears from the view after day 100 if they completed the program, or after day 120 if they did not. Inactive accounts are not shown.
- Onboarding starts on the hire date, or on the account creation date if the hire date is missing.
- “My team” includes direct reports only.
- Other roles (e.g. HR Business Partner, buddy) come from relationships set on the platform.
People before their start date
A person is shown in the “Before start” column if they have a hire date in the future, no matter how far away it is. A program is not required.
Their tile shows the number of days until the start, e.g. “12 days to start”.
A person before their start date has no progress or signals, and you cannot send them a message from the view.
Signals
A signal is a hint about what to look at for a given person. The list is in order of importance.
| Signal | When it appears | Group |
| Mandatory deadline passed | after the mandatory deadline of an element or path | Needs action |
| Mandatory deadline close | less than 24 hours to the deadline | Needs action |
| Low wellbeing score | last pulse check 1–2 | Needs action |
| Not logging in | more than 14 days without logging in | Needs action |
| No progress for over a week | still 0% from day 8 | Needs action |
| Suggested deadline passed | after the suggested deadline | Worth checking |
| Falling behind | below 50% of available items from day 14 | Worth checking |
| Not logging in | 5–14 days without logging in | Worth checking |
| Medium wellbeing score | last pulse check 3 | Worth checking |
Progress “of available”
The main percentage shows how much a person has done of what they could already do. 100% means “done everything available to them”.
- Elements whose start (release) date has not come yet are not counted, e.g. ones unlocking next week.
- Only elements already available to the person and done by them are counted.
- Optional elements and tasks done by other people (e.g. a buddy) are not counted.
- Person details also show “Whole program: N%”, the official progress from the platform.
Permissions
A person supporting onboarding sees only what they have permissions for. Missing permissions do not cause an error, just an incomplete picture.
| Permission | Grant on | If missing |
| Results and submissions - view for users | people they should see | the person is not on the board (except people before their start date) |
| Results and submissions - view in training objects | onboarding programs, paths and content | the program disappears, a path loses its name or elements drop out of progress |
| Analytics - activity overview | people they should see | no last login and no “Not logging in” signal |
How to give access to the view
- Mark the program as an onboarding program in the program properties. The view counts only such programs.
- Set up relationships on the platform: managers and other roles (e.g. HR Business Partner, buddy).
- Grant the permissions listed above.
- Give access to people supporting onboarding: create a tile on the home page with the view address [platform address]/protected/home#/onboarding/overview and assign it to the people who should have access.
